Hodgeman County Court Record Requests
Public access to Hodgeman County District Court case information begins with the Kansas District Court CaseSearch. Type an exact case number if you have one. Then read the filing or event label and its date. A result with no linked image can still confirm that a document was filed. It does not make that document public online.
If CaseSearch falls short, work down the chain: the courthouse public terminal, the clerk counter, a phone call, and finally a written request. The Clerk of the District Court takes mail at P.O. Box 187, Jetmore, KS 67854, and lists fax 620-357-6216. The clerk publishes no general email or drop-box instructions. So call 620-357-6522 before faxing anything or arranging payment.
- Identify the case number, case type, date range, and exact record.
- Check CaseSearch for public case information and any viewable image.
- Use the courthouse terminal or clerk if an older item is absent online.
- State whether inspection, a plain copy, certification, exemplification, or a transcript is required.
- Confirm the fee, payment method, delivery method, and any access limit.
Two addresses, two purposes. In-person file inspection and terminal use happen at the courthouse, 500 Main Street. A mailed Hodgeman County court record request belongs at P.O. Box 187 instead. With the request, include a return address and a phone number. Add a narrow description of the record. Say which copy type you want. Note that the county publishes no general district-clerk email. The administrative Clerk/elections address is a different office with different duties. Court-record requests sent there will not reach the right desk.
Hodgeman KORA Request Form
For a formal public-record request, use the Kansas Judicial Branch KORA form. Write in Hodgeman County District Court as the custodian. Add contact details and a narrow description. Pick a delivery preference of email, mail, pickup, or fax. The form also asks you to certify something. The record will not serve a prohibited commercial purpose under K.S.A. 45-230.
Write a precise request: name the case number, record type, event or filing date, desired certification, and delivery method. The custodian completes the estimated reproduction cost.
The form promises neither a fixed Hodgeman County copy charge nor a same-day deadline. It cannot open a sealed record either. The custodian may tell you another process or a court order is required.
Kinds of Hodgeman Court Records
Hodgeman County court records come in forms that fit different needs. An events index lists public case activity in date order. A filed image holds the actual text of a pleading, motion, order, or judgment. A certified copy is different. It carries the clerk's authentication for formal use. Printing a CaseSearch screen gives you none of that certification.
- Public case information and chronological events indices
- Complaints, petitions, answers, motions, and other pleadings
- Signed orders, judgments, and disposition documents
- Public exhibits and attachments when allowed
- Transcripts ordered through the court-reporter process
- Certified, exemplified, or authenticated clerk copies
The Clerk of the District Court holds criminal, civil, domestic, probate, limited-action, juvenile, and state traffic files. Jetmore and Hanston municipal clerks keep their own city ordinance records. The Hodgeman County administrative Clerk/elections office is a separate office and keeps no court dockets.
Hodgeman Portal Copies Are Uncertified
Think of the public portal as a discovery tool. A result can list a case number, court, case type, filing date, status, judicial officer, public parties and roles, and an events index. Some document images may appear too. Kansas court notices are clear, though, that the display is not the official court record.
| Product | Best Use | Source |
|---|---|---|
| Events index | Track filings, settings, and public status | CaseSearch or terminal |
| Filed document | Read the actual public motion, order, or judgment | Portal image, terminal, or clerk |
| Certified copy | Provide authenticated proof | District Court clerk |
A docket line saying a motion was filed tells you nothing about its contents. Nor does a "disposed" entry supply the judgment terms. When exact language matters, request the public order.
Court Records: What They Contain
Every Hodgeman County court file hangs on its case number and filed activity. Odyssey-era numbers combine the county prefix, year, case-type code, and a six-digit sequence. Note that HG-2024-CV-000001 is a synthetic format example, not a real case.
| Case header | Case number, Hodgeman location, type, filing date, status, and judicial officer. |
|---|---|
| Events index | Chronological filing, setting, ruling, and disposition entries. |
| Pleadings | Public petitions, complaints, answers, motions, and responses. |
| Orders and judgments | Signed rulings and the terms needed to understand an outcome. |
| Document status | Viewable, restricted, sealed, converted but unavailable, or absent. |
| Certification | A clerk-controlled status not created by a web printout. |
Public fields may add a filer role, a linked setting, a page count, or a format. Rule 24 protects identifiers in filings. A visible birth date, password, PIN, or account number should never be copied just because it appears on screen.
Older Hodgeman Files Need a Terminal
Hodgeman County moved onto the centralized Odyssey case-management format in 2022. Older cases may carry legacy numbers, and converted documents may never reach the web. Treat that as an access or conversion limit. It is not proof a case is sealed.
Official case-number guidance puts newer Hodgeman files in the county-prefix, year, case-type, and six-digit sequence family. That family applies after the September 2022 conversion. Do you hold a legacy number? Keep its original punctuation and year handy when you call the clerk. The public terminal can show a converted public record the internet view omits. Terminal access does not override Rule 22. Adoption, juvenile, expunged, sealed, and other nonpublic material stays restricted even inside the courthouse.
The Kansas court-records information names courthouse access as the fallback. Use the public terminal at 500 Main Street in Jetmore. Or ask the clerk to pull the file. Listed public hours run weekdays from 8:00 a.m. to noon and 1:00 to 5:00 p.m. Holiday and counter timing should be confirmed.
On the filing side, Kansas district eFlex shows how the system handles submissions.
The login and support controls are exactly why eFlex is not an open public record search.
Copy Fees and Certification
A plain copy just reproduces a public item, while certified, exemplified, and authenticated copies add clerk-controlled verification. The Hodgeman clerk publishes no current fee schedule for these products, and borrowing a neighboring county's price would mislead you. Ask the office for a quote before mailing any payment.
| Item | Current Hodgeman Amount |

| Certified district-court copy | Confirm with clerk |
| Exemplified or authenticated copy | Confirm with clerk |

The official directory lists no personal name for the clerk. Address the office by title and confirm a name directly if you need one.
Hodgeman Transcript Requests Differ
A transcript is not an ordinary copy. Under the 24th Judicial District local rules, the request form goes to the presiding judge for signature. The reporter then prepares the transcript plus one copy, all at the requester's expense. The original lands with the clerk, and any extra copies follow court-reporter rates.
When you submit the form, state the proceeding and the date. Ask the clerk for the current version. The local rules allow attorney email copies only for qualifying filings. Strict limits apply around adoption, child-in-need-of-care, and other confidential material.
Access Rules for Court Records
Kansas Supreme Court Rule 22 splits access three ways. The tiers are internet access, terminal access, and nonpublic records. A public item can be missing from the web yet still sit in the courthouse. Sealed and nonpublic material stays closed through both public routes. Adoption files, many juvenile and protection matters, expunged criminal records, and grand-jury proceedings carry limits. So do some mental-health or probate categories.
Key Kansas rules:
Kansas Supreme Court Rule 22 defines public electronic access and restricted records.
Kansas Supreme Court Rule 24 protects personal information in filings.
Kansas Open Records Act supports access while preserving exemptions.
If an image is absent, ask the clerk whether it is unconverted, terminal-only, restricted, sealed, or not public. Never bypass a restriction; lawful access may require a court order.
Federal Records Outside Hodgeman Court
Federal cases never appear in CaseSearch. Jetmore has no federal docket counter. Hodgeman County sits in the Dodge City Division of the U.S. District Court for the District of Kansas. Federal matters run through that court. Use PACER for federal dockets. The District of Kansas record-access page explains how to reach the clerk's records.
Sort out which court system holds your case before sending a request. A dispute filed in Hodgeman County District Court stays a Kansas state matter. That is true even though the county sits inside a federal division. Federal civil and criminal dockets run through PACER and the District of Kansas clerk. Bankruptcy goes to the U.S. Bankruptcy Court for the District of Kansas. Appeals climb to the Tenth Circuit. Kansas Court of Appeals filings use the state appellate system instead. No federal office can certify a Hodgeman County District Court document.
The District of Kansas record-access page lays out the clerk-terminal route for federal court records.
This federal route has separate custodians and fees.
Kansas appellate eFlex serves appellate filing.
The registration screen again separates filing from public record search, and CourtListener RECAP may supplement a federal docket search.
RECAP does not replace PACER or the originating clerk.
